Problem Statement and Challenges

Clark Atlanta University partnered with ZoHelpers after experiencing a failed Zoho Creator project with another vendor. The aim was to rapidly develop a robust application supporting student, instructor, and administrative workflows for course and event management. The previous attempt to build a Zoho Creator system failed due to inadequate understanding of University workflows and lack of integration. Key challenges included:

• Fragmented student registration for courses and events.

• Lack of a unified portal for students, instructors, and administrators.

• No centralized mechanism for grading, issuing transcripts/certificates, or tracking participation.

• Poor synchronization of data between Creator and CRM, leading to data integrity and reporting issues.

• Challenges with previous vendor aligning their understanding of CAU requirements

 

Evaluation and Solution

ZoHelpers performed a workflow analysis and determined that a multi-portal Zoho Creator solution—with integrated role-based access—would resolve the University’s pain points.

 

Key functionalities delivered:

• Customer portal with Instructor and Student profiles.

• Student activities: registration, open course/event application, certificate/transcript download, access to personalized dashboard.

• Instructor activities: management of assigned courses/events, student performance review, grading, and transcript issuance.

• Admin controls: oversight of all activities, data-driven decision making, and process management.

• Robust integration with Zoho CRM to ensure data consistency for students, courses, and workshops.

Implementation

The application was rapidly developed, tested, and rolled out in phases to ensure user adoption and feedback incorporation. Stakeholders participated in iterative reviews. Data migration from the failed system and full CRM integration were completed with minimal disruption.
